From Mona Olmsted : Our Pack AOLs transferred to the Troop via Scoutbook. None of us have submitted the paper registration form yet due to lack of in-person meetings due to COVID-19. Some of those scouts may be working on a merit badge. Is that a problem?

Think of joining a Troop as a two-step process:

  1. You must apply with a formal BSA Youth (&/or Adult) Application 
  2. You should transfer your advancement history over from Scoutbook

So, yes it is a problem if the Scouts have NOT completed the formal BSA Youth Applications.  See this post how to do it remotely:  https://missionpeakscouts.com/how-to-join-remotely/
But, congratulations on successfully doing step 2 to transfer the old advancement history vis Scoutbook to the Troop!  Maybe you can post how you did that as a Q&A here in Helpful Hank?

Thank you for the response!  Below are the steps that we used to transfer our AOL scouts from the pack to the troop (credits go to an AOL den leader in the Pack):

  1. Make sure that all of their awards and advancements are marked as Approved and Awarded.
  2. Go to the Scout’s Membership page (it is in the Awards section, below “Edit Profile”).
  3. Select the current Pack, and then set an end date.  We used the date of the Blue & Gold ceremony.
  4. Stay on the Scout’s Membership page and use “Add” to add a new membership with the troop.
  5. The family will still need to submit a youth application for their Scout to the new troop.

Additional point of information.  With moving the scouts from Pack to Troop in Scoutbook, if they are now working on merit badges you have to make sure their date into the Troop recorded from council is BEFORE they complete that first merit badge or the scout will have problems later.

Answer from Valerie Davis/SFBAC: please refer to Mona Olmsted’s post above. PLEASE NOTE: Step 5 is the most important step. Make sure that a new Youth Application is turned in to the SFBAC office so it can be entered into ScoutNet. The SFBAC server will then update the ScoutBook server and automatically add the Scout to the Scouts BSA/Crew unit roster. No further action in ScoutBook is needed at this point.
