10/16 Recharter Update

On Thursday we held a training session at Roundtable. I realize this we conflicting with the Giants vs. Dodgers playoff game 5, so many of you may have missed the training. On Friday I was able to successfully log in to the Internet Recharter system via https://advancements.scouting.org/login.

Below are some updates and requested actions I have for you:
  1. Please reply to this google survey with the contact information for the person who will be processing your recharter this year. We will begin communicating with these people and stop communicating with the Key3. https://forms.gle/oFW3656JynXdDYAu6
  2. If one of the Unit Key3 is NOT processing the recharter for your Unit, you must assign the Key3 Delegate functional role to the registered adult leader who will process your recharter.
  3. Now that GGAC has turned on the ability to accept online Adult Applications, we strongly suggest each COR assign a COR Delegate.
  4. We strongly suggest each Unit embrace online Youth & Adult applications. If you have a Membership Chair in your Unit, we suggest you give them the functional role of Key3 Delegate so they can accept the Youth Application and manage the Adults ones after the COR accepts them.

1st Update

  • We WILL collect the Supplemental Leader Contact Information, but this year via a Google Form (such as Popcorn Kernel, YPT Champion, etc.)

New Internet Recharter 2.0 System

  • BSA will launch a new Internet Recharter 2.0 System on 10/15.
  • The Unit Key3 (or Delegate) will access Internet Recharter using their my.scouting/Scoutbook UserID & Password at https://advancements.scouting.org
  • It is 100% electronic. No paper will be given to you and none required nor accepted by GGAC.
  • GGAC has recently enabled online Adult Applications to complement the existing online Youth Applications. We suggest you fully embrace these new electronic forms.
  • We request you make your payment using one of the two electronic methods (e-Check or Credit Card).
  • Graded JTE forms will not be collected by the district. They are for the benefit of the Units. We encourage you to complete the form and work with your Unit Commissioner to create a custom improvement plan. https://www.scouting.org/awards/journey-to-excellence/unit/

Fees & Payment Methods

2022 Fees
  • Choose to pay online either by E-Check for a $1 fee or Credit Card for a 3% fee
    • Paper checks will only be accepted in extreme circumstances with prior written approval from either Steve Conn (District Commissioner) or Michael Charlesworth (District Director).

YPT

  • In April the Board of Directors of GGAC implemented a new local stricter than national policy regarding YPT. At recharter time, all Adults wishing to be included must have a YPT certificate that is valid for the entire period of the new charter. For the 2022 recharter this translates to adults needing to have NO expiration dates in 2022 and having expiration dates on or beyond 1/1/23
  • A list of YPT expirations as of 10/04 can be found here. Note the file contains email & phone numbers for all registered adults. Please treat this sensitive information appropriately.
  • If a registered adult in your Unit is missing either an email address or phone number, please enter it as part of your recharter process. See the above YPT report for highlighted missing information.
  • Contact Steve Conn our YPT Champion if you need a more current list of current YPT expirations for your Unit.

CBC Form

  • If any of your registered Adult Leaders are shown on the roster as missing their CBC, please have them fill out this form and upload it to the Internet Recharter system.

Key Dates:

  • Now – begin getting familiar with the new system
  • Now – begin figuring out who will and will not recharter next year
  • Now – begin to collect the 2022 fees
  • Now – begin tracking who needs to and has completed retaking of YPT under the new GGAC rules
  • Thur 10/14 – attend Roundtable to get your questions answered
  • Fri 10/15 – login to the production system to begin the process
  • 10/15–11/30 – schedule a meeting with your Unit Commissioner, or Steve Conn, or Michael Charlesworth to check your work before you submit & pay
  • Before Tue 11/30 – complete the online process and pay electronically
